A 4-Star Review — How to Reply (There's a Message in It)
When to use this
When someone leaves four stars. That usually means "good, but one thing" — and they didn't say what. The job of this reply is to surface that reason, which is free improvement intel.
The reply (copy it)
4-star (happy, with a reservation)
[Name], thanks for the review and the kind words!
Four stars tells me there's still something we could do better. If you don't mind sharing — what would have made it a five?
We read every one of these. Thank you.
The most common mistake
Replying as if it were five stars ("thanks for your support!"). Four stars is qualified satisfaction; treating it as perfect ignores the part they held back. Acknowledge the gap and ask what would have made it better.
When the situation is different
If you can guess the reason (it was busy, food was slow), name it yourself: "You waited a while that day — that's on us." Saying the thing they were too polite to write often earns you a revised rating.
After you reply
If they do reply with the reason, fix it and tell them you did. A four-star customer willing to explain is someone who still wants to come back — that's the easiest kind of person to turn into a regular.
