"The Food Wasn't Good" — How to Reply to a Quality Complaint

When to use this

When someone criticises your quality. This is the hardest kind to answer, because quality is subjective but you cannot say "that's just your taste" — that one line will poison your whole review page.

The reply (copy it)

Bad review: quality wasn't there
[Name], I'm sorry the [item] wasn't what it should have been. That's not what we want going out the door. We've [specific action: reviewed the process / changed supplier / retrained]. Please get in touch at [contact] — I'd like to refund this one.

The most common mistake

Arguing with their judgment ("we use the best ingredients", "everyone else loves it"). That tells the customer they're wrong, and future readers will side with them. You can describe your standards, but acknowledge that this time you missed their expectation first. The order isn't optional.

When the situation is different

If what they describe is clearly a mistake (undercooked, off, something in it), don't just apologise — offer a refund or a remake unprompted. Here readers want to see whether you own it, not how well you apologise.

After you reply

If quality complaints keep naming the same item, it's a product problem, not a communication problem. The reply only stops the bleeding; the actual work is fixing that item or pulling it.
