Customer Wants to Book — How to Reply (Ask Everything at Once)

When to send this

When someone says they want to book. Their intent is at its peak — your only job is to turn it into a confirmed booking without stretching the conversation over several rounds.

Yes, we can do that! What time on [date], and how many people? Right now [option A] and [option B] are open. Send me your name and number and I'll hold it for you.

The most common mistake

Just replying "sure!" Now they have to ask what times you have, whether you need a phone number, and every extra round is another chance to lose them. Offer options in your reply ("I have X or Y — which works?") so the decision becomes picking one.

When the situation is different

If you fill up often, offer alternatives in the same message: "That day's full — would the day before or after work at the same time?" Just saying "we're full" sends them to look elsewhere.

After you send it

Once confirmed, put the time and place in one complete message — not scattered across the thread. They need something they can scroll back to, and that alone cuts no-shows.
