When to send this

When the order ships or becomes available for pickup. The point of this email isn't just to inform — it's to answer the questions they're about to ask. Written well, it prevents a wave of "where's my order?" messages.

The most common mistake

Just writing "your order has shipped." What they actually want to know is when it arrives and how to track it. Without an estimated date and a tracking method, this email becomes the reason they email you again.

Variant: when the situation is different

For pickup, add two things: your hours and what they need to bring. Leave those out and someone will make a wasted trip — and a wasted trip becomes a bad review.

After you send it

If the estimated arrival date passes with no tracking update, send a second email proactively. A delay you flagged first is service. A delay they had to ask about is a problem.
