When to send this

At least a week ahead. The cost of late notice isn't just a wasted trip — it's that they found someone else while you were closed, and stayed there.

Hello, Thanks for your email. We're closed from [date] to [date] ([reason, e.g. holiday / inventory]) and will reopen on [date]. I'll reply to your message as soon as we're back. For anything urgent, please [phone / other]. Sorry for any inconvenience, and thank you! Best, [Your name / business]

The most common mistake

Only writing when you reopen. What they actually want to know is what to do if something urgent comes up, and what they can do in the meantime. Leave those out and a closure notice becomes a nudge toward your competitor.

Variant: when the situation is different

If you can still take orders while closed (just shipping later), say so clearly. Plenty of businesses write "orders paused" to keep things simple, and lose far more in orders than they save in hassle. "Order anytime — everything ships on the Xth" usually nets out better.

After you send it

On your first day back, email anyone who ordered or asked something while you were away. They waited for you. That email costs almost nothing and gets remembered.
